Bulk scheduling from a spreadsheet

Schedule up to 200 posts at once by uploading a CSV file from Excel, Google Sheets or Numbers.

Planning a month of posts? Write them in a spreadsheet and upload it once. Click Bulk schedule in the menu (on a phone, tap More first). Owners, admins and editors can use it.

1. Download the template

Click Download template. It's a CSV file with the right column names and two example rows. Open it in Excel, Google Sheets or Numbers.

2. Fill in one row per post

ColumnWhat to write
dateThe day, for example 2026-11-03 or 03/11/2026
timeThe time in your local time, for example 10:00 or 6:30 pm. Empty means 9:00
captionThe text of the post
hashtagsOptional. Added on a new line after the caption
accountsall, a network (instagram, facebook, tiktok, youtube, x, linkedin, pinterest, threads, bluesky, telegram) or the name of one of your accounts. Separate several with commas
mediaOptional. Direct links to images or videos, separated with |, or the file name of something in your media library
titleOptional. YouTube video title or Pinterest Pin title
linkOptional. Pinterest link, LinkedIn link preview or a link added to Facebook
labelsOptional. Your own labels, separated with |

A media link must open the file itself (it usually ends in .jpg, .png or .mp4). Share links from Google Drive or Dropbox often open a web page instead, so they won't work. The easiest way is to upload your images to the media library first and write their file names in the media column.

3. Save as CSV and upload

In your spreadsheet choose File → Save as (Excel, Numbers) or File → Download → CSV (Google Sheets). Then click Choose CSV file in PilotPost.

PilotPost checks every row with the same rules as New post and shows a table:

  • Ready rows are fine.
  • Rows with a problem show the reason in red, for example a date in the past, an account that isn't connected or a caption that's too long for X.

Click Schedule to schedule all the ready rows. Rows with problems are skipped: fix them in your spreadsheet and upload just those rows again. Your posts then appear in the Calendar, where you can still move, duplicate or delete them.

Each upload can have up to 200 rows, and the posts count towards your plan's monthly limit as usual.
