Team members, roles and approvals

Invite people into your PilotPost account with their own login, choose their role, and approve posts before they go out.

With Collaborate you can invite colleagues, freelancers or clients into your PilotPost account. Everyone signs in with their own email and password, and you choose what each person can do.

Invite someone

  1. Click Team in the left-hand menu.
  2. Under Invite someone, enter their email address and choose a role.
  3. Click Send invite. They get an email with a link that works for 7 days.
  4. When they open the link, they create a PilotPost login (or log in if they already have one) and click Join the team.

If the email doesn't arrive, click Copy invite link next to their name under Pending invites and send it to them yourself. Resend sends the email again, and Cancel withdraws the invite.

Roles

  • Owner (you): everything, including billing.
  • Admin: everything except billing: connect and disconnect social accounts, and invite or remove team members.
  • Editor: write, schedule and publish posts, approve posts from contributors, reply to comments in Community and edit the Start Page.
  • Contributor: write posts and send them for approval. They can't publish on their own, reply to comments or change settings.

To change someone's role, pick a new one next to their name and click Save. To remove someone, click Remove: they're signed out straight away. Posts they wrote stay in your account.

Approving posts

When a contributor finishes a post, they click Send for approval instead of Schedule. Then:

  1. The post appears in Calendar → For approval, with who sent it.
  2. An editor, admin or the owner clicks Review & approve, checks the post (and changes it if needed), then clicks Schedule or Post now.
  3. Or they click Send back, add a note, and the post goes back to the contributor's Drafts with that note.

How many team members

It depends on your plan: Starter includes 1, Pro 5 and Agency 20 team members besides you. Open invites count towards the total. To add more, upgrade your plan on the Billing page.

For team members

  • You don't need your own subscription: you work in the owner's account, under their plan.
  • Billing is managed by the owner.
  • To leave a team, open Team and click Leave team. Anything in your own account is kept and comes back when you leave.
  • Each person can turn on two-step verification for their own login under Security.
